What EZPrint collects, what happens to the documents you print, and how to get any of it back or deleted. Written to be read, not to be skipped.
The short version. Your documents are deleted from our servers as soon as they finish printing. We do not read them, we do not keep copies, and we have never sold anyone's data to anybody. We keep the name of each document so your job history is useful to you, and you can delete that whenever you like.
1. What we collect
When you make an account
Your name, your email address, and a password. The password is stored only as a scrypt hash with a random salt, so nobody at EZPrint can read it, and an attacker who stole the database still would not have it.
When you connect a printer
The name and location you type, the name of the print queue on the computer or Hub next to the printer, and its hardware address on that local network. We use the hardware address to recognize the same printer after it is unplugged and plugged back in, so it does not turn into a duplicate.
When you print
The document itself, for as long as it takes to print it, and then details about it that outlive it: the document's name, its page count and size, which printer it went to, the username your computer supplied, when it was sent and when it finished, and a SHA-256 fingerprint of its contents. The fingerprint is a one-way hash; the document cannot be reconstructed from it. We use it to notice the same file being sent over and over, which is what a misconfigured print loop looks like.
The document's name is the part worth thinking about. If you print a file called MRI results.pdf, that filename stays in your job history until you delete it, even though the file itself is long gone. That is a deliberate trade so your history is actually useful, but it is yours to clear.
Automatically
Your IP address when you sign up, sign in, reset a password, or set up a Hub. We keep those to stop somebody hammering the service with guesses, and for nothing else. Ordinary server logs, which include IP addresses and the pages requested, are kept on the server for a short period and are not analyzed or combined with anything.
What we do not collect
- No analytics or tracking of any kind. No Google Analytics, no advertising pixels, no session recording, no third-party scripts. The site sets exactly one cookie, to keep you signed in.
- No card details. Payments go directly to our payment processor. Card numbers never touch our servers; we store only the customer and subscription identifiers they give us.
- No location beyond what an IP address implies, no contacts, no device fingerprinting.
2. What happens to your documents
A document you print is written to disk on our server, held only while it is queued and printing, and deleted as soon as the job reaches a final state: printed, cancelled, or failed for good. There is no copy anywhere else and no archive.
If your printer is switched off, the job waits in the queue with the document still on disk, because there is nothing to print to yet. If nothing collects it, the job expires by itself and the document is deleted. A separate sweep looks for any file whose job record has gone and removes it, so nothing can be orphaned on disk.
Nobody at EZPrint opens your documents. We do not train anything on them, we do not index them, and we would need to modify the software to be able to look. The only automated thing that ever touches the contents is the page counter and the fingerprint described above.
Encrypted the whole way. Your document is encrypted on its way to us, encrypted the entire time it is on our servers, and encrypted again on its way out to the computer or Hub sitting next to your printer. Then it prints, and it is deleted. That is the whole life of it.
3. Why we hold each thing
For anyone who needs the formal version: our lawful bases are performing the contract you entered when you signed up (account, printers, jobs, billing), our legitimate interest in keeping the service working and unabused (IP addresses for rate limiting, fingerprints for loop detection), and legal obligation (keeping records of what you paid).
4. Who else sees it
We do not sell your personal information and never have. We do not share it for advertising. It goes to four companies, each doing one job:
| Category | What they do | What they get |
|---|---|---|
| Payment processing | Takes the payment and issues receipts | Your email address and whatever you type into their checkout. They hold the card details. We never see a card number. |
| Email delivery | Delivers the few emails we send | Your email address and the message itself. |
| Hosting | Runs the servers | Data sits on their hardware. They have no access to the application and no reason to look. |
| Domain and DNS | Points ezprint.to at our servers | Domain records only. Your print jobs do not pass through them. |
All four are established providers, and each is contractually bound to handle your data only as we instruct. If you want the specific companies by name, for a vendor review or your own compliance paperwork, email support@ezprint.to and we will send you the list. We keep it off a public page for competitive reasons rather than to be evasive.
We would also hand over data if a court ordered us to. If that ever happens and we are allowed to tell you, we will.
5. How long we keep it
| Thing | Kept for |
|---|---|
| The document you printed | Until the job finishes, then deleted |
| Job history: names, pages, timestamps | Until you delete it or close your account |
| Account and printer settings | Until you close your account |
| IP addresses used for rate limiting | About an hour |
| Password reset and verification links | They expire quickly and are single use |
| Payment records | As long as tax law requires, held mostly by our payment processor |
| Database backups | Two weeks, then automatically destroyed |
That last row matters for deletion requests: when you delete something it goes from the live service straight away, but a copy may sit in an encrypted nightly backup for up to two weeks before that backup ages out. We do not restore backups to recover deleted data.
6. Your choices
You can see and change your account details, your printers and your job history from the dashboard at any time. Beyond that you can ask us to give you a copy of everything we hold about you, correct it, delete it, or stop using it in a particular way. Email support@ezprint.to and we will do it within 30 days. There is no charge and we will not ask you why, or try to talk you out of it.
Depending on where you live you may have these rights formally, under the GDPR in the UK and EU, or the CCPA in California, among others. We apply them to everybody rather than checking where you are first. If you think we have got something wrong you can complain to your local data protection authority, though we would rather you told us and gave us the chance to fix it.
Closing your account deletes your printers, your job history and your settings. Tell us and we will do it.
7. Security
Everything moving between you, us and the machine beside your printer is encrypted in transit, and documents are encrypted while they are stored with us. Passwords are never stored, only a one-way hash of them.
Two things are worth knowing because they are partly in your hands. The link your computer uses to reach a printer contains a secret key, so treat it like a password; if it ever gets out, rotate it from the printer's page and the old one stops working immediately. And the last few feet, from the computer or Hub to the printer itself, run over your own network, so that hop is as private as your network is.
No service is perfectly secure and anybody who tells you otherwise is selling something. If we ever discover a breach affecting your data we will tell you what happened, what was affected and what we are doing about it, without waiting to be forced to.
Found a security problem? Email support@ezprint.to. We will not threaten you for reporting it in good faith.
8. Children
EZPrint is not for children under 13, and we do not knowingly collect anything from them. If you believe a child has given us information, tell us and we will delete it. A school or family printing a child's homework is a grown-up's account and is entirely fine.
9. Changes
If we change anything that matters we will email you before it takes effect, not quietly edit this page and change the date at the top. The date at the top tells you when it last changed.
